This Privacy Policy explains how Collman Digital Marketing ("Collman Digital," "we," "us," or "our") collects, uses, shares, and protects information when you visit collmandigitalmarketing.com, call our phone lines, book a call, or otherwise interact with our services.
By using our website or services, you agree to the practices described here. If you do not agree, please do not use the site or services.
1. Information we collect
Information you provide to us
When you contact us, book a call, request a quote, or communicate with us, we may collect your name, business name, email address, phone number, service address or service area, details about your business and its needs, and any other information you choose to share.
Information collected automatically
When you visit our website, we and our analytics and advertising partners automatically collect certain information, including your IP address, device and browser type, operating system, referring/exit pages, pages viewed, links clicked, approximate location, and the dates and times of your visits. This is collected through cookies and similar technologies (see Cookies & tracking below).
Call information
When you call a phone number associated with our services, we may collect your phone number, the contents and audio recording of the call, a transcript, and information you provide during the call (such as your name, address, and the nature of your inquiry).
2. AI-answered & recorded calls
Some inbound calls to numbers associated with our services or our clients are answered by an automated AI receptionist rather than a live person. These calls are recorded. At the start of a recorded call, callers are provided a recording disclosure. Florida is a "two-party" (all-party) consent state for recordings; by continuing the call after the disclosure, the caller consents to the recording.
Our AI receptionist answers inbound calls only — calls that customers place to us or to our clients. We do not use it for outbound calls or robocalls.
Call recordings and transcripts are used to book appointments, qualify leads, quality-assure and improve our services, and maintain records of the interaction. Voice services are provided through our technology vendors (see How we share information).
3. How we use information
We use the information we collect to:
- Respond to inquiries, schedule and confirm appointments, and provide the services you request;
- Answer, qualify, route, and follow up on phone calls, and send you text/email notifications about bookings;
- Operate, maintain, secure, and improve our website and services;
- Measure and analyze website traffic, performance, and marketing effectiveness;
- Send you administrative or, where permitted, marketing communications (you can opt out at any time);
- Detect, prevent, and address fraud, abuse, security, or technical issues; and
- Comply with legal obligations and enforce our agreements.
4. Cookies & tracking
We use cookies and similar technologies to operate the site, remember preferences, understand usage, and support advertising. Our site currently uses the following third-party services, which may set cookies or collect usage data:
- Google Analytics 4 — website analytics and measurement (Google LLC);
- Meta Pixel — advertising measurement and audiences (Meta Platforms, Inc.);
- Hotjar — product analytics, heatmaps, and session insights (Hotjar Ltd.).
You can control cookies through your browser settings and can opt out of certain analytics/advertising as described in Your choices & opt-outs. Some features of the site may not function properly if cookies are disabled.
5. How we share information
We do not sell your personal information for money. We share information only as described here:
- Service providers & technology vendors that perform functions on our behalf, including scheduling (Cal.com), AI voice call handling (Vapi), analytics (Google), advertising (Meta), product analytics (Hotjar), hosting, email, and communications providers. These providers may process your information only to provide services to us.
- Legal & safety — when we believe disclosure is required by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of Collman Digital, our clients, or others.
- Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
Note for review: depending on how your advertising cookies are configured, certain data sharing with advertising partners may qualify as a "sale" or "sharing" of personal information under laws such as the CCPA/CPRA. Have counsel confirm the correct disclosures and opt-out mechanisms for your setup.
6. Data retention
We retain personal information for as long as needed to fulfill the purposes described in this Policy, to comply with our legal obligations, resolve disputes, and enforce our agreements. Retention periods vary by the type of data and the purpose for which it was collected. When information is no longer needed, we take reasonable steps to delete or de-identify it.
7. Your privacy rights
Depending on where you live, you may have rights to request access to, correction of, or deletion of your personal information; to opt out of certain processing (such as targeted advertising or the "sale"/"sharing" of personal information); and to not be discriminated against for exercising these rights. To make a request, contact us using the details below. We will verify and respond to your request as required by applicable law.

9. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Third-party links
Our website and communications may link to third-party sites or services (for example, our scheduling page). We are not responsible for the privacy practices of those third parties, and this Policy does not apply to them. Review their privacy policies before providing information.
11. Children's privacy
Our website and services are intended for businesses and adults. We do not knowingly collect personal information from children under 13 (or the age defined by applicable law). If you believe a child has provided us information, contact us and we will delete it.
